These Terms of Service (“Terms”) are an agreement between you (“you”, “your”, the “Client”) and Peter Sun Marketing Pty Ltd, trading as “Matey AI” (“Matey AI”, “we”, “us”, “our”), ABN [ABN — Peter Sun Marketing Pty Ltd], Queensland, Australia. By subscribing to or using the Matey AI service, you agree to these Terms.

1. Important disclaimer — we are not a BAS or tax agent

Please read this first.

Matey AI provides bookkeeping and admin automation software. We are not a registered tax or BAS agent and do not provide tax or BAS advice or lodge BAS. Your Business Activity Statement should be reviewed and lodged by your own registered BAS or tax agent.

  • The service automates invoicing, quoting, receipt capture, payment reminders and record-keeping. It keeps your books tidy and “BAS-ready” so that your own registered agent can review and lodge them.
  • GST coding rules used by the service are set up using an approved mapping agreed with your own registered agent — not our independent judgment. Anything unusual or ambiguous is flagged to a human rather than decided by the software.
  • Nothing provided by Matey AI constitutes tax, accounting, legal or financial advice.
  • You confirm that you have (or will engage) your own registered BAS or tax agent to review and lodge your BAS.
  • You remain responsible for the accuracy of your records and for meeting your tax obligations.

2. The service

Matey AI is a done-for-you bookkeeping and admin automation service for small businesses and tradies. You interact with it mainly by text message (SMS) and voice notes to your dedicated “Matey” number, with an optional web portal as a control panel.

Depending on your package, the service may include:

  • Creating, sending and recording invoices (after your approval)
  • Preparing and following up quotes (after your approval)
  • Capturing receipts and recording expenses from photos you send
  • Chasing overdue invoices and sending payment reminders
  • Keeping records tidy and reconciled-ready in your connected MYOB file
  • Job scheduling, duration estimates and bookings into Google Calendar, with reminders
  • A mobile-first web portal to manage your account, calendar, quotes, invoices and billing

We set up and maintain the tool; you operate it and keep your own registered agent. The service complements your accountant — it does not replace them.

3. Human-approval workflow

A human approves every outgoing invoice and quote before it is sent to your customers. You (or a person you authorise) review invoices and quotes before they go out. Every action taken through the service is recorded in an audit log to support accuracy and to protect you.

4. Eligibility

To use Matey AI you must:

  • Be at least 18 years old and able to enter a binding contract
  • Operate a business in Australia and provide accurate business details
  • Have (or engage) your own registered BAS or tax agent
  • Have the authority to connect any accounts you link (such as MYOB or Google Calendar) and to provide the information you give us

5. Setup, integrations and your responsibilities

  • During setup we connect your MYOB file (using your own authorised login/OAuth) and, where relevant, your Google Calendar. You may withdraw this access at any time.
  • You are responsible for the accuracy of the information and records you provide, and for reviewing invoices and quotes before they are sent.
  • You must not share your login credentials, and you are responsible for activity under your account.
  • You are responsible for ensuring you are entitled to give us any third-party information (such as your customers’ contact details).

6. Fees, billing and subscriptions

  • Pricing is in Australian dollars and quoted exclusive of GST (ex-GST). GST is added where applicable. Current package prices and setup fees are as set out at sign-up or on mateyai.com.au.
  • Most packages include a one-off setup fee plus a recurring monthly subscription. Setup fees may be waived or discounted for pilot or promotional clients where agreed in writing.
  • Recurring payments are processed by Stripe. By subscribing, you authorise us (via Stripe) to charge your nominated payment method on a recurring basis until you cancel. Card details are tokenised and handled by Stripe; Matey AI does not store your card numbers.
  • Additional usage (for example, extra crew members) may attract additional fees as described in your package.
  • Fees are generally non-refundable except where required by the Australian Consumer Law or expressly agreed. We may change our fees on reasonable notice; changes apply to your next billing cycle.

7. Cancellation

  • You may cancel your subscription at any time by contacting us at hello@mateyai.com.au (or via the portal where available). Cancellation takes effect at the end of your current billing period, and we do not charge further subscription fees after that period.
  • Setup fees and fees already incurred are non-refundable except where required by law.
  • On cancellation we will disconnect from your accounts and return or securely delete your data on request, except where we must retain certain records by law.
  • We may suspend or cancel your account for non-payment or breach of these Terms, on reasonable notice where practicable.

8. Acceptable use

You agree not to:

  • Use the service for any unlawful, misleading or fraudulent purpose
  • Provide false information or use another person’s details without authority
  • Attempt to gain unauthorised access to, disrupt, or reverse-engineer the service
  • Use the service to send spam or content that is unlawful, harmful or infringing
  • Rely on the software to make tax or BAS decisions that require a registered agent

9. Australian Consumer Law

Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Australian Consumer Law that cannot lawfully be excluded. Where we are permitted to limit our liability, we do so as set out below.

10. Limitation of liability

To the maximum extent permitted by law, and subject to Section 9:

  • The service is provided on a reasonable-efforts basis. We do not warrant that it will be uninterrupted or error-free.
  • We are not liable for indirect, incidental, special or consequential loss, or for loss of profits, revenue, data or goodwill.
  • We are not responsible for the acts, omissions or availability of third-party providers (such as Stripe, MYOB, Google or your SMS carrier), or for your own tax outcomes, which remain the responsibility of you and your registered agent.
  • Where our liability cannot be excluded but can be limited, our total liability to you is limited, at our option, to re-supplying the service or refunding the fees you paid for the service in the three (3) months before the event giving rise to the claim.

11. Intellectual property

  • Matey AI, its software, systems, branding, name and logo are owned by Peter Sun Marketing Pty Ltd. We grant you a limited, non-exclusive, non-transferable right to use the service for your business during your subscription.
  • You retain ownership of your own data and content. You grant us the licence needed to process that data to provide the service.
  • Invoices, quotes and documents produced through the service may be branded with your business logo and details, and are yours to use.

12. Privacy

Your personal information is handled in accordance with our Privacy Policy (available at mateyai.com.au), which forms part of these Terms.

13. Changes to these Terms

We may update these Terms from time to time. The current version, with its “Last updated” date, will always be on mateyai.com.au. Material changes will be notified through the service where practicable, and your continued use after changes take effect means you accept them.

14. Governing law

These Terms are governed by the laws of Queensland, Australia. You and we submit to the non-exclusive jurisdiction of the courts of Queensland and the Commonwealth of Australia.
