1. Who we are

This Privacy Policy explains how we collect, use, store, disclose and protect your personal information when you use Matey AI.

We are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Matey AI provides bookkeeping and admin automation software and done-for-you setup for small businesses and tradies. To deliver the service, we handle financial and contact information on your behalf.


2. What information we collect

We only collect information we reasonably need to provide and support the service. Depending on how you use Matey AI, this may include:

Contact and account information

  • Your name, business name and business details
  • Mobile phone number(s), email address and postal/business address
  • Login and account identifiers for the client portal (including your registered mobile number used for two-factor authentication)

Message and communication content

  • The text messages (SMS) you send to and receive from your Matey number
  • Voice notes and photos you send (for example, receipt or job photos)
  • Any instructions, notes or attachments you provide through the portal or by email

Financial, invoicing and bookkeeping data

  • Invoices, quotes, receipts and expense records
  • Job, customer and supplier details you provide or that appear in your records
  • Accounting data accessed through your connected MYOB file (via your own authorised login)
  • Payment and billing information for your Matey AI subscription (see below)

Your customers’ information

  • To prepare invoices, quotes and reminders on your behalf, we may process the contact details of your customers. You are responsible for ensuring you are entitled to give us that information.

Technical and usage information

  • Device, browser and log information, and basic analytics about how the portal and service are used, to keep the service secure and reliable.

Payment card details — important: Card payments are processed by Stripe using tokenised (secure token) technology. Matey AI does not store or see your full card numbers. Card details are handled directly by Stripe under their PCI-compliant systems.

We generally collect information directly from you (by SMS, voice note, email, the portal, or during setup). Sometimes we receive it from services you have authorised us to connect to (such as MYOB or Google Calendar).


3. How we use your information

We use your personal information to:

  • Set up and provide the Matey AI service (invoicing, quoting, receipt capture, payment reminders, scheduling and record-keeping)
  • Prepare invoices and quotes for your review and approval before they are sent (a human approves every outgoing invoice and quote)
  • Keep your books tidy and “BAS-ready” for your own accountant or registered agent
  • Communicate with you by SMS, voice note, email or phone about your account and jobs
  • Process your subscription payments and manage billing
  • Maintain an audit log of actions taken through the service, to protect you and support accuracy and trust
  • Provide support, troubleshoot issues and improve the service
  • Meet our legal, tax and record-keeping obligations

We do not sell your personal information.

Important — scope of service. Matey AI provides bookkeeping and admin automation software. We are not a registered tax or BAS agent and do not provide tax or BAS advice or lodge BAS. Your Business Activity Statement should be reviewed and lodged by your own registered BAS or tax agent.


4. Third parties and sub-processors

To run the service, we use reputable third-party providers (“sub-processors”). We share only the information needed for each provider to perform its function, and we require them to protect it. Current sub-processors include:

Google user data. When you connect your Google Calendar, Matey AI accesses your calendar events only to create, view and update job bookings and reminders on your behalf. Matey AI’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, and we do not sell it or transfer it to others except as needed to provide this feature, to comply with the law, or as part of a business transfer with equivalent protections.

Some of these providers may store or process data outside Australia. Where that happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles. We may update this list as our providers change; the current version will always be on this page.

We may also disclose information where required by law, to protect our legal rights, or in connection with a sale or restructure of the business (subject to appropriate protections).


5. Storage and security

We take reasonable steps to protect your information from misuse, loss, and unauthorised access, modification or disclosure. These steps include:

  • Storing data on reputable, secured platforms
  • Using each client’s own MYOB login/authorisation (OAuth) — we never share credentials across clients
  • Access controls so only authorised people can access your data
  • Tokenised card handling through Stripe (no card numbers stored by Matey AI)
  • An audit log of actions taken through the service

No method of transmission or storage is completely secure, but we work to protect your information and to keep our practices up to date.


6. How long we keep your information (data retention)

We keep your information only for as long as needed to provide the service and to meet our legal, tax and record-keeping obligations (financial records may need to be retained for a number of years under Australian law).

If you cancel, we can disconnect and hand your data back cleanly, and we will return or securely delete your personal information on request, except where we are required to retain certain records by law.


7. Accessing and correcting your information

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you
  • Correct information that is inaccurate, out of date or incomplete
  • Request that we return or delete your data (subject to legal retention requirements)
  • Withdraw access to a connected service (such as MYOB) at any time

To make a request, contact us using the details in Section 9. We will respond within a reasonable time and may need to verify your identity first.


8. Complaints

If you believe we have mishandled your personal information, please contact us first (Section 9) so we can try to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

10. Changes to this policy

We may update this Privacy Policy from time to time. The current version, with its “Last updated” date, will always be available on mateyai.com.au. Significant changes will be notified through the service where practicable.
